Print-Ready Files: PDF/AI/PSD Requirements and Pitfalls

Step one of online printing is uploading a file. Wrong format, missing fonts and low resolution are the top three rework causes — this checklist helps reduce rework before upload.

Recommended formats, in order

  1. PDF (first choice): locked layout, consistent across platforms; export with a print-quality preset
  2. AI: vector source — remember to outline fonts (Type → Create Outlines)
  3. PSD/TIFF: image-based files; flatten layers, 300dpi, CMYK
  4. JPG/PNG: only for purely photographic products, at full source resolution

Pre-upload checklist

  • ☐ Size = trim size + 3mm bleed on all sides
  • ☐ Fonts outlined (PDF may embed; AI must outline)
  • ☐ Images ≥ 300dpi (no blur at 100% zoom)
  • ☐ CMYK color (RGB shifts, especially vivid blues/greens)
  • ☐ Multi-page files: correct order, page count matches the binding rules
  • ☐ Single file ≤ 500MB

Q: I only have Word/PPT — can you print it? A: Yes, but "Save as PDF" first — Office files reflow fonts and layout on other machines.
